Description The Executive Assistant III is a high-profile position that provides direct administrative assistance to key company Executives.
Duties include heavy calendar management, meeting planning, creating presentations, travel arrangements, and regular administrative functions.
This position is a highly visible position, both internally and externally, and will work with external partners and internal stakeholders to ensure a seamless experience for all involved.
This position is 100% on site in an office setting.
Job Responsibilities Efficiently and effectively organize Executives schedule to maximize time availability Owns calendar management for Executive and VP's as needed Provide written correspondence, such as writing and editing e-mails Format information for internal and external communication Prepare memos, emails, presentations & reports Create and maintain business files Screen and direct phone calls Assist in managing confidential business information Plan and schedule meetings Record meeting minutes and distribute Prepare materials for meetings Schedule travel arrangements including flights, lodging and rental vehicles for the executive leadership team Follow all safety practices as outlined in policy and procedures Anticipate needs of Executives Assist with Meetings and Events Other duties as assigned Qualifications A minimum of three (3) years of administrative assistant experience supporting C-Level Executives Education:
Bachelor's degree preferred; Hospitality, Communications, or Marketing Degree preferred.
Uphold a strict level of confidentiality Multi-function job requires exceptional aptitude with business correspondence, telephone skills, computer expertise including research and liaison responsibility High level of proficiency in Microsoft Word, Excel, PowerPoint and Outlook Above average written and verbal skills Exceptional customer service skills Effective project and time management skills essential Ability to multitask and monitor several projects on a daily basis Ability to work well under pressure Excellent organizational skills and the ability to meet deadlines Self- directed strategic thinker, who actively seeks opportunities and proposes solutions Ability to engage with all levels of management Knowledge on how to use video conferencing software Benefits Competitive compensation Tuition reimbursement 401k plan with a company match.
